The Royal College of Nursing is a not-for-profit organisation funded by its members. As the world’s largest nursing union and professional body, The Royal College of Nursing represents over half a million nurses, student nurses, midwives and nursing support workers in the UK and internationally.

The organisation plays a crucial role in shaping healthcare policies, supporting best practices and influencing governments while maintaining a strong workforce of 1,280 full-time staff and engaging with 5,000 non-members.

Royal College of Nursing’s IT team was focused on improving service desk operations, securing digital assets and managing costs while adapting to the evolving hybrid work environment.

The Summary

Right Digital Solutions (RDS) partnered with the Royal College of Nursing to enhance their print management, security and sustainability efforts. This case study highlights the successful fleet rationalisation, security enhancements and efficiency gains achieved through our collaboration.

The RCN faced several key challenges, including:

Print Fleet Optimisation: Reducing the number of printing devices while ensuring reliable service across 16 sites.

The Solution

To address these challenges, RDS introduced a range of tailored solutions:

Fleet Rationalisation & Cost Efficiency:

Reduced the printer fleet by a third, streamlining operations to 31 multifunction devices (MFDs) across 16 sites.

Each region was provided with backup devices to ensure operational continuity in key print areas.

Security Enhancements with PaperCut Hive:

Implemented PaperCut Hive, a cloud-based, serverless print management solution offering advanced security features.

Enforced secure print release policies, ensuring that documents are only printed when users authenticate at the device.

Improved data security and compliance, particularly for legal documents and confidential internal files.

Enabled zero-trust printing by encrypting data and restricting access based on user permissions.

Digital Transformation & Workflow Improvements:

Encouraged the transition to digital workflows, reducing reliance on paper documents.

Integrated rules-based printing to enforce cost-saving measures, such as default black & white and duplex printing.

Implemented print analytics to monitor usage trends and optimise print policies.

Sustainability & Carbon Offsetting:

Partnered with PaperCut Grows, a carbon offsetting initiative that plants trees based on print volume.

Introduced automated paper-saving measures, including optimised paper tray management.

Encouraged responsible printing habits across Royal College of Nursing, significantly reducing waste.
