Right Digital Solutions was awarded the project to assess and audit Sealey’s print and document environment. After careful monitoring and a manual walk through, Right Digital Solutions identified several areas where efficiency could be improved, cost savings made, and rationalisation of the printer fleet formulated.
Printing costs were hidden, through a high number of desktop printers. Lack of transparency due to locally linked devices. Colour was being produced at desktop level. Managing a high number of different toner and maintenance kits. And out of action machines were simply replaced with new devices. All this needed to be addressed.
The Print Audit highlighted three main areas where potential savings could be made.
Phase One concerned the Accounts, Imports and Sales Administration Departments and resulted in a rationalisation of the desktop printer fleet. Existing printers were replaced with multifunctional devices (MFD) and a follow-me-print solution, along with audit and rule based printing software.
Phase Two involved replacing mono MFDs with the latest colour multifunctional devices, that offer efficient printing capabilities and cost savings. The new MFDs allowed faxing to be brought into this part of the solution, and any remaining desktop colour devices were removed as users could now utilise the follow-me-print solution already installed in Phase One.
With the first two phases completed, a joint decision was made to track the performance of the new solution and quarterly reviews are carried out on an on-going basis. Staff took to the new MFD technology very quickly and welcomed the new capabilities that came with it, such as scanning to other staff members and externally to clients.
As a result of using the auditing tool, other printers still within the legacy fleet came to the attention of Sealey’s management team. The third challenge was to try to reduce the associated printing costs related to sending invoices to clients – an average cost of 15p per invoice.
Right Digital Solutions offered to analyse our colour and mono printing output and recommend a cost effective way to control the costs in our document production.
